TERMS & CONDITIONS
SALES CONDITIONS INDIVIDUALS – DAY TRIPS, EXPEDITIONS AND CAMPS
1. VALIDITY
These conditions apply to all orders unless another written agreement has been entered into.
2. ORDER/PRICES
Booking of our tours can be done via your travel agency or in writing to our office or web address. Separate registration forms for our long-distance trips/cruises will be sent. Arrivals after the start of the event, and departures that may take place before its end, do not entitle reductions in the price of the trip, unless this is agreed in writing or indicated in advance. Nor will a reduction in price be given for conditions beyond our control such as weather, wind and flight or boat delays, changed ice conditions, etc. See section 5.

3. PAYMENT CONDITIONS
When it comes to our overnight trips, a deposit of at least 25% of the trip price is paid when booking. We send an invoice for the remaining amount to the customer due 30 days before departure. In case of late registration, the amount will be charged in full. Receipt of the amount paid must then be sent by e-mail to info@wildlife.no. After passed due date, 2.5% interest is calculated per month.
On our day trips, the amount must be paid in full when booking.
If you want to pay by credit card, Svalbard Wildlife Expeditions must send the customer a payment link.
An additional fee of NOK 75 is charged for ordinary manual payment. In the case of an invoice, an invoice fee of NOK 150 is charged. This applies to all types of orders.
4a. CANCELLATION OF LONGER/OVERNIGHT TOURS
Cancellation must be done in writing. Depending on when we receive notice of the cancellation, we will refund the price of the trip minus the below listed share to cover our losses arising from the cancellation.
The participants are recommended to take out cancellation insurance with their private insurance company, which i.a. covers cancellation due to illness, lost luggage or the like.

4b. CANCELLATION OF DAY TOURS
Same rules as under section 4a, but the following deadlines are valid:

Up to 22 days before the activity, a fee equal to 5% of the price paid

From 21 – 8 days before the activity a fee equal to 50% of the price paid

7 - 0 days before the activity fee corresponding to 100% of the price paid = no refund.
If the customer wishes to make any changes to the program and content of their booking between 21 days up to 48 hours before activity begins, there is a change fee of NOK 400 per alteration.
It is not possible to make changes in your booking less than 48 hours before the activity begins, and our ordinary cancellation policy will apply.
5. UNFORESEEN CIRCUMSTANCES
Svalbard Wildlife Expeditions AS reserves the right to change departure times, minimum numbers or cancel trips up to 4 weeks before departure (day trips until the start of the trip) if there are too few participants in relation to the stated number in brochures or on the website. Likewise, we reserve the right to cancel tours right up until the start of the tour due to force majeure or other events beyond the company's control that prevent the tour from being carried out.
Cancellation if the customer's assessment of their own physical and mental condition in relation to the tour's content is not compatible.
In such cases Svalbard Wildlife Expeditions AS reserves the right to cancel with no compensation in excess of the amount that the customer has already paid the operator. We also reserve the right to change the program along the way, if the organizer/tour leader deems it necessary for safety or technical reasons (weather conditions, scooter breakdowns, delays, etc.). In the Arctic, it is the weather that decides, and the extreme conditions that prevail can in some cases lead to the program having to be changed (also due to ongoing rescue operations) and thus does not give the right to a reduction in price. No refund in case of forgotten driver's license or delayed/cancelled flight.
Scooter insurance included, where used, and the deductible is NOK 6,000,-
Svalbard Wildlife Expeditions AS tries as far as is reasonable to carry out the trip as described. The guest's safety will always be the first priority.
6. CUSTOMER LIABILITY
The customer himself is responsible for assessing his own physical and mental condition in relation to the tour's content. The customer must at all times follow the instructions given by the event manager, and it is not permitted in any case to bring private weapons or pyrotechnic equipment on our tours.
Svalbard Wildlife Expeditions AS reserves the right to refuse people participation in our activities if they are considered a risk to safety, or behave in such a way that it is embarrassing for the guide or other participants on the trip. Persons under the influence of alcohol or drugs will be refused admittance.
Safety is always our top priority, and it's important that our guide can give instructions and make themselves understood. Therefore, it is mandatory to understand and speak English in order to participate in our tours. All tours will be conducted in English.
7. INSURANCE
Svalbard Wildlife Expeditions AS activities are covered by liability insurance with our insurance company. We have also given a guarantee to the Governor of Svalbard for expenses in connection with any rescue operations on Svalbard. Svalbard Wildlife Expeditions cannot be held responsible for damage or loss that occurs outside of our control. For participation on our longer trips, we require that the individual participant has taken out individual travel insurance. This can be purchased through a travel agency or personal insurance company.
8. PACKAGE TRAVEL ACT
The Package Travel Act of 25 August 1995 No. 57 applies to this offer and Svalbard Wildlife Expeditions AS is the supplier of this package within the meaning of the Act. As a member of the Norwegian Travel Industry Association, a guarantee has also been given to the Travel Guarantee Fund in accordance with the Package Travel Act.
9. TYPING ERRORS AND PRICE CHANGES
Svalbard Wildlife Expeditions AS accepts no liability for any typing errors and price changes due to circumstances beyond our control.
